The three models, in detail

What's actually different between them

Model 1 · Dedicated Team — Fixed Monthly

One predictable monthly investment. One dedicated professional. No operational complexity.

Our Fixed Monthly model is for businesses that want dedicated capacity without establishing an overseas operation or managing employment administration. You receive a carefully selected professional who works exclusively for your business, follows your processes, uses your systems and operates as an extension of your Australian team.

How it works

  1. The client defines the role, responsibilities, experience, working hours and success measures.
  2. Virtual Team recruits and employs the selected professional and manages agreed payroll, HR administration, equipment, technology and workplace arrangements.
  3. The client directs day-to-day priorities, workload, process training and performance outcomes, with local support from Virtual Team.
  4. The client pays one agreed monthly amount based on the approved scope.

Best suited for

  • First offshore hire
  • Small and medium-sized businesses
  • Predictable workforce costs
  • Minimal employment administration
  • Role-by-role scaling
  • Dedicated rather than shared resources

Advantages

  • Simple monthly pricing — one predictable invoice for the agreed service.
  • Fast to establish — no separate offshore entity or dedicated facility required.
  • Reduced operational load — agreed recruitment, employment, payroll and HR support are managed locally.
  • Dedicated capacity — the professional works exclusively for the client.
  • Easy to scale — add roles as requirements grow.

Points to consider

  • Employee remuneration and provider operating margin are bundled rather than separately itemised.
  • The client has less influence over allocation of the total monthly amount.
  • Larger teams may benefit from the transparency and governance of the Open-Book model.

One agreed monthly fee per dedicated team member. The final proposal depends on role, experience, working arrangements, technology requirements and operating hours.

Model 2 · Open-Book Team — Salary + Service Fee

Complete cost visibility for organisations building teams of 10 or more.

This model separates the employee remuneration package from agreed employment, operating and Virtual Team service charges. It gives larger teams clearer workforce-planning information and greater input into salaries, benefits, retention initiatives and team growth.

How it works

  1. The client and Virtual Team agree roles, salary ranges, benefits, equipment, workplace needs and management support.
  2. Virtual Team recruits and legally employs the professionals and manages agreed payroll, HR, local compliance and operations.
  3. The client receives an agreed breakdown of approved cost categories plus the Virtual Team service fee.
  4. Cost-change, review, foreign-exchange and approval rules are documented in the commercial schedule.

Best suited for

  • Teams of 10+ staff
  • Multi-role departments
  • Salary-cost visibility
  • Workforce planning and benchmarking
  • Retention and reward decisions
  • Continuing offshore growth

Advantages

  • Open-book visibility
  • Clearer workforce budgets
  • Greater remuneration input
  • Potential commercial efficiency at scale
  • More informed retention planning
  • Role and salary benchmarking

Points to consider

  • Costs can change with remuneration, statutory obligations, benefits, foreign exchange or operating requirements.
  • Requires greater client involvement in workforce-planning decisions.
  • Salary information needs restricted access and confidentiality controls.
  • The client needs sufficient management capacity for a larger team.
  • Minimum team-size and contractual-commitment requirements apply.

Agreed employee remuneration and employment costs, plus operational costs and the Virtual Team service fee — broken down transparently rather than bundled into one figure.

Model 3 · Private Offshore Office — Minimum 20 staff

Your people. Your culture. Your dedicated offshore workplace.

Virtual Team establishes and operates a client-dedicated delivery centre in India for organisations requiring at least 20 staff. The workplace, team structure, technology and operating procedures are designed around the client's agreed requirements. Approved internal branding can make the centre feel like a seamless extension of the Australian operation while it remains operated by Virtual Team under the agreed contractual structure. This model is available only for a minimum of 20 staff.

How it works

  1. Discovery, design and an establishment plan are completed collaboratively before implementation.
  2. Virtual Team sets up the dedicated facility, technology, security and local leadership.
  3. Virtual Team recruits, employs and manages the dedicated team under the agreed structure.
  4. The client directs the work while Virtual Team manages the operating environment and local employment.

Best suited for

  • Australian organisations requiring a minimum of 20 offshore staff
  • Complete departments or larger client-dedicated operations
  • Businesses requiring an exclusive workplace or stronger physical controls
  • Organisations seeking deep cultural and brand integration
  • Clients needing local managers, trainers, quality or support personnel
  • Businesses considering a future Build-Operate-Transfer pathway

Advantages

  • Exclusive operating environment
  • Stronger cultural integration
  • Greater physical security options
  • Improved in-person collaboration
  • Client-specific infrastructure
  • Planned capacity for expansion
  • Stronger extended-team identity

Points to consider

  • Requires more discovery, design and setup than the other models.
  • Setup, fit-out, technology, security and facility costs may apply.
  • A longer contractual commitment and minimum capacity may be required.
  • Responsibilities for branding, technology, security, continuity and management must be documented.
  • Legal, tax, regulatory and permanent-establishment implications need professional review before the centre is described as the client's formal Indian office or legal presence.

Tailored employment, recruitment, facility, fit-out, technology, security, local management and operating costs, plus an agreed Virtual Team fee. A detailed establishment plan, responsibility matrix and commercial schedule are completed before implementation. Minimum 20 staff.

Security and privacy

Security designed around the work your team performs

Offshore access is designed around the systems, information sensitivity, industry obligations and client contracts involved. Controls are agreed during solution design and responsibilities are documented in the agreement.

Controls that may be included

  • Role-based access and least-privilege permissions
  • Multi-factor authentication and client-managed accounts
  • Approved devices and endpoint controls
  • Restrictions on downloading and local storage
  • Network, connectivity and physical-access controls
  • Confidentiality and intellectual-property provisions
  • Access logging and audit requirements
  • Joiner, mover and leaver procedures
  • Secure deletion and prompt access removal
  • Australian-region data hosting where required by the client
  • Incident escalation and response procedures

Specific security measures depend on the engagement and are documented in the applicable agreement. Virtual Team is ISO 27001:2013 and ISO 9001:2015 certified — see our About page for details.

Offshore delegation does not transfer your organisation's own privacy obligations as the Australian client. We encourage clients to obtain independent legal, tax, privacy and regulatory advice for their specific circumstances. See our Privacy Policy for how we handle information collected through this website.

Optional pathway

Build with us. Operate with confidence. Transfer when ready.

Clients selecting a suitable Open-Book Team or Private Offshore Office arrangement may discuss a Build-Operate-Transfer pathway. Virtual Team initially establishes and operates the agreed team or delivery centre. After an agreed period and subject to documented transfer terms, the client may have the option to assume ownership or control of agreed parts of the operation.

A transfer may include agreed employees, processes, documentation, equipment, facility arrangements or operational responsibilities. Timing, employee communication, legal requirements, commercial terms, transition support and any exclusions must be agreed in advance.

Choosing the right structure

The right model depends on more than team size

During discovery, Virtual Team considers:

  • Number and type of roles
  • Expected growth over the next 12 to 36 months
  • Working hours and coverage
  • Internal management capacity
  • Required commercial transparency
  • Security, privacy and contractual obligations
  • Office-based or supported remote-working needs
  • Technology, equipment and connectivity
  • Brand and cultural integration
  • Potential future ownership or transfer objectives

We recommend an engagement structure aligned with your immediate requirements and long-term workforce strategy.

1–9 staff; simplicity preferred→ Dedicated Team, Fixed Monthly
10–19 staff; cost transparency preferred→ Open-Book Team
20+ staff; exclusive dedicated workplace required→ Private Offshore Office
10+ or 20+; future ownership interest→ Discuss BOT alongside the suitable core model
Frequently asked questions

Common questions about engagement models

Yes. Under all three models, selected employees are assigned to your organisation and are not shared across unrelated Virtual Team clients.
The client normally manages daily priorities, workflows, process training and performance expectations. Virtual Team supports agreed employment administration, HR, local operations and continuity.
Yes. Virtual Team screens applicants and presents suitable candidates, while the client participates in final selection.
The proposal confirms the inclusions. These may cover employee costs, recruitment, payroll administration, HR support, agreed equipment, workplace arrangements and Virtual Team support.
It provides agreed visibility over employee remuneration, employment-related costs, operating costs and the Virtual Team service fee.
At this scale, a more detailed workforce-planning, reporting and commercial-governance structure is more practical.
A Private Offshore Office is available for a minimum of 20 staff.
Yes. Subject to agreement, a client may start with Fixed Monthly and move to Open-Book or a Private Offshore Office as workforce and operational needs grow.
Approved internal branding can be incorporated. The facility's legal and contractual description must reflect the operating structure and should not imply a formal Indian legal presence unless one has deliberately been established.
Access depends on client systems, contracts, privacy obligations and security requirements. Appropriate controls, confidentiality terms and procedures must be established first.
A BOT pathway may be available for suitable larger engagements. Rights, timing, costs, employee arrangements and responsibilities must be documented in advance.
Timing depends on roles, hiring conditions, notice periods, technology, workplace and security requirements. Virtual Team provides an implementation plan after discovery.
